Who we are
Laptop Clinic is a computer repair business at Shop 3/121 Oxley Station Rd, Oxley QLD 4075, and is the trading name of The Trustee for Taktim Group Trust (ABN 33 515 465 543). In this policy, "we", "us" and "our" refer to Laptop Clinic. The policy applies to personal information collected through this website, by telephone, email and text message, and at our shop.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Information we collect
Enquiries and quotes
When you contact us, we collect the information reasonably necessary to understand and respond to your enquiry. Depending on the enquiry, this may include:
- your name and email address;
- your telephone number, where provided;
- your device's type, brand and model;
- a description of the problem, such as when it started, whether the device powers on, and whether it holds files or data you need to keep; and
- any other information you choose to provide that is relevant to your enquiry.
Only your name and email address are required on our contact form. All other details are optional; include them where they are relevant to your enquiry.
Repairs
When you leave a device with us, we record details such as your name and contact details, the device's type, brand and model, the fault you report, our notes and repair records, the quote and the work you approve, and invoice and payment records.
Purchases
When you buy an item from us, we record the item purchased, payment records, and any contact details you provide.
Website visits
We do not use analytics, advertising or tracking on this website. The services that deliver the website receive certain technical information, such as your IP address and browser details; see This website and cookies.
Sensitive information
Repairing a computer does not require sensitive information, such as health information. Please do not include it in your messages to us.
How information is collected
We generally collect personal information directly from you: through our contact form, by telephone, email or text message, or in person at our shop.
How we use personal information
We use personal information to:
- respond to your enquiry and provide a quote;
- assess and repair your device, carry out any data recovery or transfer you have requested, and keep you informed of progress;
- supply items purchased from our shop;
- administer warranty claims, refunds and complaints;
- prepare an insurance report you have requested;
- maintain a record of previous work, so that we can assist if you contact us again (see Retention of information);
- keep the records the law requires, such as tax and invoice records; and
- protect this website and its contact form from spam and misuse.
We do not use or disclose personal information for any other purpose unless you consent, or the law requires or authorises it. Your details, photographs of your device and any other material relating to your repair are used to promote the business only with your separate consent; agreeing to a repair is not consent to promotional use.
Disclosure of personal information
We disclose personal information only as needed for the purposes described above, with your consent, or where the law requires or authorises it. Recipients may include:
- Netlify, which hosts this website and delivers contact-form messages to us. Netlify screens each form message for spam using Akismet, a service of Automattic.
- Google, which provides the typeface and the map used on this website (see This website and cookies).
- Service providers that support our business operations, such as our email service.
- Any person or organisation you authorise us to share it with, such as your insurer.
- Police or other authorities, where the law requires or authorises disclosure.
Information processed overseas
Messages sent through our contact form are processed by Netlify and screened for spam by Akismet in the United States. When Google's services load on this website, Google may process information in the United States and other countries. Other service providers that support our business, such as our email service, may store information in Australia or overseas.
This website and cookies
This website does not use analytics, advertising, tracking pixels or social media plugins. It does not set cookies of its own or store information in your browser, which is why no cookie banner is displayed. The following third-party services are used to deliver it:
- Hosting. Netlify hosts this website. As with any web host, it receives your IP address and browser details when a page is loaded, in order to deliver the page to you.
- Fonts. The website's typeface is loaded from Google Fonts, so your browser sends your IP address and browser details to Google. Google states that its Fonts service does not set cookies and does not use this information for advertising or profiling.
- Contact form. Messages sent through the form are delivered by Netlify, which screens them for spam (see Disclosure of personal information).
- Map. The contact page displays a Google map of our location. When the map loads, Google receives your IP address and may set or read cookies under Google's own policies (opens in a new tab).
Files, data and passwords on your device
A computer often holds a significant amount of personal information. When you leave a device with us, the following applies:
- Backups. Repair of a device may result in loss of data. Please back up any files you wish to keep before bringing the device in. If the device does not start, please tell us, and ask about data recovery.
- Access to your files. We do not view your files, photographs or email beyond what is reasonably necessary for the repair, testing or data recovery you have authorised. Where the work requires that access, we inform you and obtain your agreement first.
- Passwords. We do not normally require your password. If access is genuinely required, we explain why, and use the password only with your consent and only for the access the authorised work requires.
- Data recovery and transfer. Where we copy your data to carry out an authorised recovery or transfer, the working copy is used only for that service. Once the recovered or transferred data has been provided to you, we delete our working copy.
- Replaced drives. Where we replace a hard drive or SSD, the original drive is returned to you. It may still contain your data, so please keep it secure.
Communications
We contact you about your enquiry, quote, repair or purchase using the contact details you provide. We send promotional messages only with your consent, and any promotional email or text message we send includes a simple means of unsubscribing.
Storage and security
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure.
Retention of information
Different kinds of information are retained for different purposes.
Customer and repair records
We may retain basic information about your enquiry or repair after the matter has been completed. This may include your name, email address, telephone number where provided, your device's type, brand and model, and a record of the problem reported.
This information is retained to maintain a record of previous work. It allows us to identify work we have carried out, respond to later questions, assist with warranty enquiries and understand the history of a device if you contact us again. It is not used for marketing without your consent.
Invoices and payment records
Invoices and payment records are kept for at least the period Australian tax law requires, which for most business records is five years.
Files and data from your device
Personal files and data from your device, such as documents, photographs, email and recovered data, are not retained as part of our customer and repair records. A working copy made for an authorised data recovery or transfer is deleted once that work has been completed and the data has been provided to you (see Files, data and passwords on your device).
Information no longer required
Where personal information is no longer needed for any of the purposes described in this policy, and the law does not require us to keep it, we take reasonable steps to destroy or de-identify it.
Access and correction
You may request a copy of the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We may need to verify your identity first. We will respond within a reasonable time. There is no charge for making a request or for correcting your information. If we are unable to provide access or make a correction, we will explain why in writing and tell you how to make a complaint.
Questions and complaints
If you have a question or concern about how we have handled your personal information, please contact us first, by email, by telephone or in person, describing what occurred and the outcome you are seeking. We will look into the matter and respond within a reasonable time.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au (opens in a new tab) or on 1300 363 992. The OAIC can advise whether it is able to deal with your complaint.
Changes to this policy
We update this policy when our practices change. The date at the top of this page shows when it was last revised.
